Job Summary:
The Office Administrator will assist the Office Manager in daily operations, including administrative tasks, scheduling, document management, and communication. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced manufacturing environment.
Responsibilities:
Administrative Support:
- Serve as the first point of contact for phone calls, emails, and visitors, providing professional and courteous assistance. Help customers check out and process credit cards.
- Assist in maintaining a clean and organized office environment.
- Assist the Office Manager with day-to-day administrative tasks, such as filing, data entry, and document preparation.
- Maintain accurate records. Organize and manage both physical and digital filing systems for easy accessibility.
- Schedule and arrange meetings, appointments, and travel for office staff as needed.
- Support onboarding activities for new recruits, including preparing clean, organized workstations.
- Assist in preparing reports, presentations, and other documents for the Office Manager and leadership team.
- Help organize company events, training sessions, and meetings by coordinating logistics, catering, and materials.
- Take meeting minutes and distribute them as needed.
- Ensure compliance with company policies and procedures under the direction of the Office Manager.
- Assist with maintaining safety records and documentation for the facility.
Qualifications and Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Strong organizational and time management skills with attention to detail.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize responsibilities in a fast-paced environment.
- Professional demeanor with strong customer service skills.
- Familiarity with manufacturing terminology and processes is a plus.
